Time settings for the exam

This document describes how you can make your exam available for regular students and for those who are entitled to extra time. 

Attention! If your exam takes place as a digital exam in the Aletta Jacobs Hall then you don’t have to create the time settings yourself. The facilitator of your exam will do that for you, because the procedures are slightly different.


Setting up time restrictions for regular students

You have to set these time restrictions for each exam.

  1. Open the folder ‘Exam/Tentamen’. Use the dropdown menu behind ‘Manage folder Exam/Tentamen’ and chooseAdaptive Release Advanced’.

  2. Click Create Rule.

  3. Call this rule: Everybody and click Submit.

  4. Start by making a rule for the date/time restriction for this question. Click Create Criteria and choose ‘Date’.

  5. Choose the regular times for the exam, e.g. if the exam is scheduled on March 24th from 1 PM until 2 PM, fill that out in the boxes.
    It is best to add 2 minutes at the end, as a safeguard to make sure answers are (auto-)saved within the timeframe.

  6. Click Submit.

Once this is finished you will have to click OK in the lower right-hand corner of the page to go one step back. This is important, you want to create a new rule, not add more criteria to this rule!


Setting up time restrictions for extra time students

You only have to follow the instructions below if there are any students entitled to extra time for your exam. 

  1. Open the folder ‘Exam/Tentamen’. Use the dropdown menu behind ‘Manage folder Exam/Tentamen’ to choose ‘Adaptive Release: Advanced’. 

  2. Click on Create Rule.

  3. Name this rule: Extra time and click on Submit.

  4. Click on Create Criteria and choose ‘Date’.

  5. Choose the regular start time, and the end time for the students with extra time. (e.g. if the regular exam is until 2pm, and some students have 30 minutes extra, set this end time to 2:32 pm.).

  6. Click on Submit.
    You need to indicate which students are entitled to extra time:

  7. Click again on Create Criteria and choose ‘Membership.

  8. Select the item ‘Extra time’ in the box ‘items to select’ and click on the arrow > to move it to the box ‘selected items’ and click on Submit.

  9. You will now see the complete rule: Date and Membership. Click on OK in the lower right hand corner.

Your rules will now look like this:

All the students will have time from 1:00 until 2:02, and students in the group for extra time will have time from 1:00 until 2:32.


Enroll extra time students in the Extra time group

Students need to be enrolled in the course (check with your facilitator) before you can add them to the extra time group. You will need the names and/or s-numbers of those who are entitled to extra time.

You can add a student to the Group by going to ‘Users and Groups’ > ‘Groups’ and use the drop down menu behind the extra time group. 

Choose ‘Manual Enroll/ Unenroll’ and check the box in front of the student, click on Enroll and choose ‘Extra time’.


Folder properties and Customization

After you have set the time settings, you also have to make the exam course available, otherwise students will not be able to see or access the course in Nestor.

Location and availability of the folder

It is possible to make the exam available for a specific location. When the exam is online, there are no restrictions on the location. Is the exam in the Aletta Jacobs Hall, then there will be restrictions (your facilitator will set the settings for you then).

  1. Go to the folder ‘Exam/Tentamen’ in your exam course to set the location restrictions for your online exam. Use the dropdown menu behind ‘Manage folder Exam/Tentamen’ to choose ‘Edit folder properties’.

  2. Scroll down to the ‘Folder details’ section. If students are allowed to take part in the exam at any location, there should be a check mark in the box ‘no restrictions’ (‘geen restricties’).

  3. Scroll a bit further down to the section ‘Options’ to change the availability of the folder for students. Make sure the ‘available to students’ box is set to ‘Yes’ and click on Submit.

    Because you have already set the time settings for the students with the Adaptive Release Advanced, the exam will only be available at that date and time. 


Availability of the exam course  

After you have set the time settings by using the Adaptive Release Advanced and set the settings for the location and the folder, you can make the exam course available to students.

Please note that you only do this after you have set the other (time) settings, otherwise the exam questions might become available before the planned time of the exam.

There are two ways to make the exam course available:

At a specific date

To make sure the exam course will be available on a certain day automatically, you can set a date for the exam course to become available, and also a date for the exam course to become unavailable again.  

  1. Go to the course and search in the menu on the left under ‘Control panel’ for ‘Customization’ and go to ‘Properties.’

  2. Scroll down to the section ‘Set availability’ and make sure the ‘Make course available’ box is set on ‘Yes’.

  3. Go to the section ‘Set course duration’. Check the box for ‘Select dates’ and fill in the date when you want to make the course available for students. The course will open on the Start Date at midnight, and close on the End Date at midnight. In the example below the course will be open from January 7th 12AM up to and including January 8th 11:59PM.
    - There will be no problem if you make the course available before the students get access to the exam folder. Students will see the course, but they cannot access the exam itself before the time that is set in the Adaptive Release Advanced.

Immediately

If you want to make the exam course available immediately (for example; because the exam starts), go to the course and search for the lock in the upper right-hand corner of the screen. A closed lock means the exam course is not available.  

Click on the lock to make the exam course available. The lock will be opened and the exam course is now available for the students. The folder Exam/ Tentamen will only be available within the time restrictions set there.
