Steps in the exam process
This workflow describes all the steps to take to prepare your online exam. The steps are visible in the column on the left and it includes manuals when necessary. You can also use this workflow as an outline to create your digital or hybrid exam, but be aware that not all online options can be used in the Aletta Jacobs Hall due to limitations on the Hall’s computers. Please contact the facilitator of your exam about the possibilities for your digital or hybrid exam.
Team Assessment Support Team can assist you with the preparations of your exam and if necessary will also carry out some of the steps. These steps are checked in the column on the right. You can contact the facilitator for your exam throughout all steps via the exam management portal for help or when you have questions.
Please follow all necessary steps listed, and if applicable, the optional steps marked in grey.

Before the exam

Register your exam with the scheduler at your faculty. See here who to contact. Only scheduled exams are supported by Team Assessment Support Video: Registering and accessing your exam Use of the exam course is recommended as it provides extra security, because you can benefit from technical support, and for archiving, accreditation and logging purposes. |

An exam course based on a template will be created and a facilitator is assigned to your exam. |

You will receive an email when your exam course is created. By default, the coordinator of the course is enrolled and able to communicate with the facilitator through the exam course. Add colleagues to the exam management portal who will then also be able to communicate and see the communication with the facilitator | Questions about the exam can now be asked to your facilitator in the exam management portal in your exam course.

Optional: You can test your exam from a student perspective |

When you are ready with the construction of your exam: inform Team Assessment Support. After this: please do not change any settings because Team Assessment Support will test with these settings if the exam works correctly. |
Report your exam ready for testing via the exam management portal (In the exam course: click on Exam Management > Report Ready button ) | |
The exam and settings will be tested and findings will be communicated back to you. Students will be enrolled using the course registrations in Progress, unless other arrangements are made with your faculty. |

Enroll students who are entitled to extra time in the extra time group. This is possible after all the students for the exam are enrolled. |

During the exam

After the exam

Optional: Set up a digital review. You can re-open the exam course for students during a certain time frame. You can decide which students can take part and which information they get to see. Keep in mind: If you have added general restrictions (e.g. time, unavailability) to any of the questions / the test, you must remove them for inspection. Individual restrictions (e.g. Student Pledge, Question Flow) must remain. |

You can ask Team Assessment Support to check the review settings via the exam management portal (In the exam course: click on Exam Management). |
Optional: Exam analysis. The exam analysis tool provides you with an overview of statistics on test performance, overall and per question. This can be used for MC questions. |
The exam analysis will be created if at least 25 students took the exam. |
